The simple definition of a letter is a written, typed, or printed communication. It is sent in an envelope by post or messenger. It is very common that touches in our life numerous types. Thus to know the types of letters is mandatory.

Importance of Various Letters

Appointment Letter

Appointment Letter is an official communication between an employer (company/institution) and a candidate who is selected for a job position. It is legal proof that confirms the appointment of the candidate for a particular job opportunity.

Role and Responsibilities Letter

Role and Responsibilities Letter is a type the letter which is issued for both new and existing employees from the employer. In the case of a new employee, it is provided to inform him/her about a position in the company, for which he/she has been selected, and what the company expects from him/her, as he/she takes on the new responsibilities. It does not only include all the details about the designated role but also a list of tasks or responsibilities expected to be fulfilled. Whereas for an existing employee it is given who has been promoted or transferred to a new position. It can be given to the employee either physically or via e-mail.

Experience Letter

Experience Letter is a letter that gives details of the experiences gained by an employee in the time span one had spent in the organization/company. it is considered to be an important document as it gives the information of the employee’s works experience to the other organization’s employer. This is to be attached by the employee with his CV at the time of applying to the new organization.

Recommendation Letter


Recommendation Letter: A letter of recommendation or recommendation letter is a formal proof that validates someone’s work, skills, or academic performance. It may be applicable for someone who is applying for a job, internship, college or university, volunteer opportunity, or leadership position. The objective of this type of letter is to verify what you have learned about the applicant. It also provide additional positive details about his/her performance or habits.

Request Letter for Additional Responsibilities at Work


Request Letter for Additional Responsibilities at Work/ Letter Notifying Additional Responsibilities is another type of letter that is issued to the employee by the company as announcing additional responsibilities.


Promotion Letter with Additional Responsibilities: This type of letter is given to the selected candidate or employee, telling them how lucky they are to get this post, and how the promotion in position means addition to their responsibilities and loyalty towards work.

Cover Letter: It is a one-page document of average 250 to 400 words long that is submitted as part of an application for a job or study along with a CV/Resume. Its aim is to introduce and briefly summarize your professional background.
